We help healthcare organizations capture, convert, and retain patients through intelligent automation across every channel. Founded in 2021 and headquartered in Irving, Texas, we work with leading health systems and medical groups nationwide, and our team moves quickly to keep pace with the providers we serve.
The Role:
We are looking for a polished, highly organized Office Receptionist and Executive Coordinator to be the first impression of Steer Health and the operational backbone of our office. You will manage complex calendars for our senior executive team, keep the office running smoothly, coordinate supplies and logistics for onsite and offsite events, and represent the company with professionalism in every interaction.
This role is ideal for someone who thrives on structure in a fast-moving environment, anticipates needs before they become problems, and takes pride in getting the details right.
Key Responsibilities:
Executive Calendar Management
- Own and manage the calendar of the CEO, balancing competing priorities and frequent changes
- Schedule internal meetings, customer and partner calls, board and investor meetings, and interviews across multiple time zones
- Prepare executives for their day with confirmed agendas, materials, dial-in details, and travel information
- Proactively identify scheduling conflicts and resolve them with sound judgment
- Coordinate business travel, including flights, hotels, ground transportation, and itineraries
Front Desk and Reception
- Greet and welcome visitors, customers, candidates, and partners with warmth and professionalism
- Answer and route incoming calls, voicemails, and general inquiries promptly
- Manage visitor check-in, conference room bookings, and meeting room setup
- Receive and distribute mail, packages, and deliveries
Office and Supply Coordination
- Maintain inventory of office supplies, kitchen and breakroom items, and equipment, and place orders before stock runs low
- Manage relationships with vendors, building management, and service providers
- Track office purchases and expenses within budget and submit receipts accurately
- Keep the office clean, organized, and ready for customers and guests at all times
Event Coordination
- Plan and coordinate logistics for onsite meetings, team events, customer visits, and executive offsites
- Source and manage venues, catering, materials, and transportation for offsite events
- Coordinate shipping and setup of materials for conferences and trade shows
- Support new employee onboarding logistics, including workspace setup and first-day arrangements
Professional Communications
- Draft, proofread, and send clear, professional correspondence on behalf of executives
- Handle confidential information with discretion and integrity
- Serve as a reliable point of contact between the executive team, employees, customers, and outside partners
- Prepare meeting notes, follow-up summaries, and action item tracking as needed
Required Qualifications:
- Bachelor's degree (required)
- 2+ years of experience as a receptionist, executive assistant, office coordinator, or in a similar administrative role
- Proven experience in a fast-paced environment such as a startup, healthcare organization, or high-growth company
- Experience managing calendars for senior executives or multiple leaders at once
- Excellent written and verbal communication skills with a polished, professional presence
- Strong organizational skills and the ability to manage multiple priorities under tight deadlines
- Proficiency with Google Workspace or Microsoft 365, video conferencing tools, and calendar management
- High level of discretion when handling confidential information
Preferred Qualifications:
- Experience in healthcare, health technology, or SaaS
- Event planning or vendor management experience
- Familiarity with expense management and procurement tools
What Success Looks Like:
- Executives start every day with a clean, confirmed calendar and everything they need to function at their peak levels
- The office is always stocked, organized, and guest-ready
- Events and offsites run smoothly, on time, and within budget
