Job Description
As Manager, Founder’s Office, you’ll work directly with rtCamp’s Founder and CEO and a remote team of 200+ people across 10+ countries, involving international travel, client and team gifting, company retreats, vendor management, and cross-border procurement for our India and US entities. This is not a front-desk or facilities role. You will rarely meet the people you support.
This is a full-time, in-office role based in Koregaon Park, Pune.
This role is a launchpad to Chief of Staff. You’ll work full-time from the founder’s office in Koregaon Park, Pune, alongside him and a small team, learning how the whole business runs from the closest seat in the house. The path is simple: own operations end to end, prove your judgment, and grow into Chief of Staff in 3 to 5 years.
Although the work is operational, we expect systems thinking and automation of as many processes as possible. You are not expected to code anything but use AI in day-to-day work and brief our in-house engineering team to build/improve systems that increase overall productivity and reduce operational expenditure.
Key Responsibilities:
- Plan and manage end-to-end travel and logistics for domestic and international business trips, company retreats, offsites, leadership meetings, and client visits, including flights, hotels, ground transport, visas, and related arrangements for team members and leadership across 10+ countries.
- Own procurement, vendor management, and gifting operations across rtCamp’s multiple legal entities including sourcing, vendor selection, contracts, invoicing, budgets, worldwide shipping, customs coordination, and day-to-day purchase decisions.
- Coordinate cross-functionally with Finance, IT, HR, and leadership to manage operational requests, including laptop procurement, onboarding kits, equipment logistics, and seamless employee onboarding for a distributed team.
- Provide operational support to the CEO, handling priority tasks, time-sensitive requests, and occasional administrative errands.
- Drive operational efficiency by automating repetitive workflows using AI tools and spreadsheets, while presenting quarterly spend reviews with insights on travel, gifting, automation impact, and process improvement recommendations.
Must Haves:
- 2–5 years of experience in operations, travel management, executive operations, or office management within the IT, SaaS, or technology industry.
- Proven experience managing end-to-end international business travel and visa processes for a distributed global team.
- Strong commercial and operational judgment, with the ability to balance cost, time, and business impact when making decisions.
- Strong command of Google Workspace and spreadsheets (formulas, pivot tables), plus daily use of AI tools such as Claude or ChatGPT.
- Excellent written English for asynchronous communication across time zones, with working proficiency in Hindi and Marathi for coordinating with local vendors and stakeholders.
- Highly organized, detail-oriented, and trusted to handle confidential information with professionalism and discretion.
Good to Have:
- Experience working in a remote-first or information technology (IT) company.
- Familiarity with corporate travel, expense management, or procurement platforms (e.g., Brex Travel, Navan, TravelPerk, myBiz).
- Exposure to cross-border purchasing (India-US) or working with multiple legal entities.
- Attention to details and willingness to document new processes and learnings, and to constantly update existing documentation.
