The Role
Talent Coordinator- Palo Alto
We are seeking a Talent Coordinator to raise the bar on how Quince coordinates hiring at scale. This is a role for someone who owns the processes behind interview coordination, exercises independent judgment to solve complex problems, and improves how the coordination function runs, while still scheduling interviews globally and delivering an exceptional candidate experience for our most complex searches.
You will design and improve coordination processes, own offer letter governance, administer recruiting systems, interpret recruiting policies, and influence the work of our recruiting coordinator team.
Responsibilities
- Own and continuously improve interview coordination and scheduling processes, SOPs, and playbooks, exercising independent judgment to redesign workflows as hiring needs, volume, and priorities change.
- Coordinate interviews and own the candidate experience for candidates.
- Independently resolve complex, ambiguous, and escalated scheduling, logistics, and candidate-experience situations, such as executive and leadership loops, multi-site or cross-time-zone panels, and competing high-priority searches, deciding the best path without step-by-step direction.
- Own offer letter maintenance and governance: maintain templates and approval workflows, ensure accuracy and compliance, and evaluate and resolve non-standard offer situations, escalating true exceptions with a recommendation.
- Identify, propose, and implement process enhancements and automations across the recruiting workflow and tech stack, and measure their impact.
- Serve as a power user or administrator for recruiting systems (Greenhouse and ModernLoop), configuring and maintaining workflows and determining how to apply them to new situations.
- Interpret recruiting policies and guidelines and advise recruiters, coordinators, and hiring teams on how to handle non-routine cases.
Qualifications
- BA/BS degree or equivalent experience.
- 2+ years of experience in recruiting coordination or recruiting operations, including demonstrated ownership of process improvements and independent problem-solving.
- Experience owning or significantly contributing to offer processes, recruiting systems administration, or coordination programs.
- Sound judgment and the ability to make good decisions in ambiguous, high-stakes situations with limited direction.
- Ability to guide and develop others and to influence process and tooling decisions.
- Excellent organization, attention to detail, and written and verbal communication.
