About the Role
We are seeking a proactive, highly organized, and resourceful Executive Assistant to provide direct operational and administrative support to the President of Sales. In this position, you will serve as the President’s operational right-hand, managing complex calendars across multiple time zones, triaging high-priority communications, tracking key deliverables across national sales offices, and executing special administrative projects. The ideal candidate thrives in a fast-paced sales environment and excels at maintaining seamless organization for C-level leadership.
Key Responsibilities
- Proactively manage executive calendars, coordinate internal and external meetings across multiple US time zones, and handle scheduling logistics.
- Screen, organize, and prioritize executive inboxes; draft professional correspondence and ensure urgent operational matters are addressed immediately.
- Prepare meeting agendas, compile background documentation, record clear action items during alignment calls, and follow up with team leads to drive accountability.
- Oversee executive administrative initiatives, keeping key deliverables on track and ensuring operational milestones are met across different locations.
- Draft, edit, and audit executive presentations, operational reports, tracking spreadsheets, and company-wide memos.
Qualifications & Requirements
- Experience as an Executive Assistant, Senior Administrative Specialist, or Operations Assistant supporting C-level or senior executive leadership in fast-paced environments.
- Exceptional written and verbal English skills with strong proofreading instincts and professional composure.
- Self-motivated and detail-oriented with proven problem-solving abilities ~ able to anticipate executive needs before they arise.
- Skilled in Google Workspace, Microsoft Office (Excel, Word, PowerPoint), and project management tools (Asana, ClickUp, Trello, or Slack).
- Ability to work full-time during US business hours (MDT)
