As an SAP Silver Partner specializing in SAP BRIM, Acuiti Labs delivers business technology solutions and digital transformation on S/4HANA and cloud applications such as Subscription Billing, CPQ, and Entitlement Management.
Our expertise supports subscription and consumption-based Target Operating Models across industries: Mobility-as-a-Service, Tourism-as-a-Service, Ports-as-a-Service, Postal-as-a-Service, Telco-as-a-Service, and Software-as-a-Service.
What You’ll Do
As an Associate – Administrative Assistant, you will play a critical role in ensuring the smooth day-to-day functioning of the office and supporting senior leadership in administrative operations. You will manage office administration, vendor coordination, travel logistics, and employee engagement activities to maintain an efficient and positive work environment.
Roles and Responsibilities
- Office & Facility Management
- Oversee daily office operations, including housekeeping, pantry, and front-office services.
- Monitor and manage office supplies, furniture, and equipment; ensure timely replenishment and maintenance.
- Coordinate office refurbishments, internal moves, and seating arrangements.
- Supervise administrative support staff (office boys, vendors, pantry team) and ensure task completion.
- Travel & Logistics
- Manage domestic and international travel arrangements for employees and leadership, including flights, hotels, cabs, and itineraries.
- Support Board and leadership meeting logistics (venue, catering, scheduling).
- Assist in planning executive dinners, lunches, and business events.
- Vendor & Compliance Management
- Manage and negotiate with vendors and service providers to ensure quality and cost efficiency.
- Maintain vendor contracts, bills, and documentation in coordination with HR and Finance.
- Ensure smooth functioning of office facilities and adherence to compliance standards.
- Employee Engagement & Events
- Organize and coordinate company events, team outings, and celebrations to foster a positive work culture.
- Support branding activities, including distribution of branded materials for corporate events, client visits, and trips.
- Ensure brand guidelines are followed in internal and external communications.
- Executive & Cross-Functional Support
- Provide ad hoc executive support to Board members as needed.
- Collaborate with HR, Finance, and IT teams to support cross-functional initiatives and projects.
- Maintain employee and administrative records with confidentiality and accuracy.
Education, Skills, and Experience
- Bachelor’s degree / Diploma in Administration, Business, or related field (preferred).
- 3–5 years of proven experience as an Administrative Assistant, Admin Executive, or similar role.
- Local candidate from Pune, India.
- Language proficiency: English, Hindi, and Marathi.
- Strong organizational, multitasking, and time-management skills.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills to manage multiple stakeholders.
- Ability to work independently with attention to detail and confidentiality.
- Problem-solving mindset with a proactive approach.
